What a vending machine asks of the room before it is plugged in
The first demand is floor area, and it is larger than the footprint of the cabinet. A machine needs clearance at the front for the door to swing and for a person to crouch at the delivery bin, and clearance at the back or side for service access. The second demand is electrical. Machines with refrigeration and a heating element draw more than a domestic socket circuit is usually rated for, and a shared circuit invites nuisance tripping. Packaging decides more than the machine. A bag that is too light will not drop cleanly; a bottle that is too tall will not fit the shelf pitch; a can that has been chilled and warmed repeatedly will taste of it. Siting is a question about traffic and about permission. The best spot is on a route people already walk, at a height they can reach, in light that lets them read the labels, and out of the weather where possible. A machine in a dead corridor sells to nobody, however good the range.
The agreement is where the risk is allocated, and it should be read as a list of answers. Who buys the machine, who owns it, who insures it, who pays for the electricity, who empties the cash box, who holds the key, who is called at night when it jams. A location that takes a share of turnover takes a different interest in the machine than one that charges a flat rent. A franchise or lease arrangement shifts the purchase price but adds obligations on range, branding and service times.
Before the machine is commissioned, a checklist is worth more than a handshake: the circuit and its rating, the floor level, the door swing, the delivery route, the temperature of the room in summer and winter, the cleaning access, the contact who can let a technician in, and the name of the person who signs for deliveries. What does the daily routine actually consist of?
The routine is short and it is not optional. It begins with a look: is the machine running, is the glass intact, is anything leaning against the cabinet, is there condensation where there should not be. Then the temperature, read and written down for the chilled sections, because a drink machine that has drifted warm is a food safety question and not a comfort question.
Restocking is the next step, and it is also inspection. Dates are checked as the shelves are filled, packs that are damaged or past their date come out, and the spirals are set to the pack in hand. Allergen information has to be available to the buyer, which means the labels on the packs and the information the operator keeps are both part of the job.
Cleaning follows the machine, not the calendar. The delivery bin, the flap, the glass, the shelves and the floor around the base are the places where spills and crumbs collect. A machine that is cleaned on a fixed round stays presentable; one cleaned when someone complains does not.
Then the money and the data. Coin boxes are emptied on a schedule that is not announced, card terminals are checked for connection, and faults are logged with the date and what was seen. A log turns a recurring jam into a pattern, and a pattern into a repair.
Maintenance, faults and who answers for them
Maintenance divides into what the operator does and what a technician does. The operator changes a spiral, clears a jam, wipes a shelf, replaces a lamp. The technician handles refrigeration, the compressor, the control board, the card terminal and anything behind a panel that carries a warranty.
The division should be written down before the first fault, with response times and a named contact. A machine that stands for a week with a paper sign taped to the glass costs more in lost sales and in reputation than the repair itself.
Energy is part of the same ledger. A chilled cabinet runs year round, and its consumption is stated on the label under the energy labelling scheme that applies in the European Union, so the figure can be compared before purchase rather than discovered on a bill. A machine in a hot room, with a condenser coil matted with dust, will use more than its label says.
At the end of the agreement, the machine has to leave the way it came in: powered down, emptied, cleaned, and the circuit and the floor returned to what they were. A site that planned the entry will not be surprised by the exit.
